For accounting practices

Xero alternatives for accounting practices

Honest shortlist for UK practices weighing a move off Xero. Not a 12-vendor listicle. Three real options: the AI-native challenger (AccountsOS), and the two incumbents practices actually consider (Xero, QuickBooks). When Xero still wins, when an AI-native ledger fits, and how to pilot without a weekend cutover.

The honest shortlist

Three options practices actually consider. The rest of the market (Sage, FreeAgent, QuickFile, etc.) either targets sole traders, lacks multi-client practice tooling, or does not move the economics enough to justify the migration cost.

AccountsOS

AI-native

AI-native practice packaging. Finn prepares (categorisation, reconciliation, batch VAT and year-end), you review and file. £12 per live client with no seat fees.

For whom: Practices serving standard UK Ltds who want to cut per-client software cost and staff admin time.
Pricing: From £12 per live client + VAT, volume discounts, no seat fees

Xero

The UK accountant default. Mature product, huge app ecosystem, team familiarity. Per-org pricing plus add-ons, no AI prep.

For whom: Practices with inventory-heavy clients, deep CIS workflows, or staff already trained on Xero.
Pricing: Per organisation + add-ons, varies by plan and client count

QuickBooks

Global reach, strong in US and UK. Good ecosystem, per-org pricing, AI features are bolt-ons not core.

For whom: Practices with multi-country or US-linked client books, or existing QuickBooks familiarity.
Pricing: Per organisation + add-ons, varies by plan

When Xero still wins

Xero is decades old with a huge ecosystem. If your practice specialises in these areas, Xero remains the safer choice today.

Inventory and stock control

AccountsOS does not yet have inventory management. If you serve retailers, wholesalers, or manufacturers, Xero handles stock tracking fully.

Deep CIS workflows

AccountsOS covers basic CIS (subcontractor tracking, deductions, monthly returns). Xero goes deeper with reverse charge handling and detailed CIS reporting. Construction-specialist practices should stay on Xero.

Xero App Store

Hundreds of integrations: expense tools, sector-specific add-ons, niche reporting. AccountsOS integrates with the majors (Stripe, Deel, Wise, Mercury) but the ecosystem is years smaller. If you rely on a specialist app, check it connects before switching.

Your team already knows it

Xero is the UK accountant default. Your staff know where everything is, workflows are proven, and training cost is zero. Switching means retraining the team. That is worth it if Finn saves more time than the migration costs, but it is still a cost.

When AccountsOS wins

If your practice serves standard UK Ltds (month-end, VAT quarters, year-end, no inventory), the AI-native packaging changes the economics: Finn does the production work, your team works exceptions, and you are billed per live client with no seat fees.

Finn prepares, you review

Categorisation, reconciliation, batch VAT and year-end prep across up to 50 clients at once. The incumbents give you a ledger and a form. Finn fills in the form and tells you where every client stands (Ready or Blocked, with named blockers).

Exceptions queue, not line items

The practice desk lands what needs a human in one queue across the whole book: unplaced transactions, books that do not tie to the statement, months ready to close. You work the exceptions, not every client one by one.

Flat practice pricing

£12 per live client + VAT, no seat fees. Xero and QuickBooks charge per organisation plus add-ons, so a practice with 100 clients pays per file then again per user. Your whole team gets a desk, included.

Multi-country on one account

26 countries live: GB, IE, AU, US, DE, NL, and 20 more. One client book can hold UK Ltds, Irish DACs, and Australian Pty Ltds without separate subscriptions. The incumbents are mostly single country or require separate accounts per region.

What to look for when switching

The checklist for practices evaluating a move from Xero to any alternative.

Does it handle the core Ltd bookkeeping job? (Ledger, bank feeds, invoicing, VAT, payroll, reports.)
Does it cut per-client software cost, staff admin time, or both?
Can you migrate in batches, testing with one client before moving the book?
What happens to inventory, CIS, and niche app integrations your clients rely on?
What is the migration path? (Xero connection, CSV export, manual setup.)
Who owns the review and sign-off? (Finn prepares, the accountant signs.)
What is the data sovereignty and training policy? (AccountsOS: AWS eu-west-2, never used to train models.)
