The Problem with "Email Forwarding"
Every accounting tool on the market lets you forward receipts to a special email address. Some let you forward invoices. A few even handle bank statements. But they all stop at one thing: document extraction. The email is just a delivery mechanism for an attachment.
That's not how email actually works in a business.
A real founder's inbox contains:
- Proposals you sent to prospects
- Replies from prospects about timelines and budgets
- Receipts and supplier invoices
- Signed contracts
- Casual to-do lists from your own brain dumps
- Questions you wish someone would just answer
Forwarding any of those to a typical "email to accounts" address gets you nothing useful. The system was built for one shape of email and rejects everything else.
What Changed
As of 25 May 2026, every email arriving at finn@accounts-os.com from a registered AccountsOS user is handed to the same Finn that powers chat, Slack, WhatsApp, and Telegram. Same AI. Same 50+ tools. Same reasoning loop.
The difference is the input. Instead of you typing "log a call I had with Acme today", Finn reads the email itself and figures out:
- What kind of email is this?
- What action fits?
- What tools do I need to invoke?
- What should I tell the user I did?
Then it does it.
What Finn Does with What You Forward
A deal email
You forward an email you sent to a prospect with your proposal. Finn parses the quoted To: header to find the recipient, then:
- Creates a contact for that person if they aren't in your system yet
- Opens an opportunity for the deal β name, value, source, stage
- Logs the full proposal content as activity on the deal (timeline, terms, pricing)
- Replies to you confirming exactly what it set up
Example reply (names changed): Forwarded email subject: "Fwd: Q3 retainer proposal β Sam Chen". The reply that came back two minutes later:
Done. Here's what I logged:
- New contact β Sam Chen (sam@example.com)
- New deal β Northwind Audio β Platform Build, Β£9,500, moved to Proposal Sent
- Email note β full proposal scope, payment terms (40/40/20), 6-week timeline, and the Β£500/month support retainer recorded against the deal
If Sam says yes, the Β£3,800 upfront deposit invoice is ready to raise whenever you want.
No CRM data entry. No copy-paste from your sent folder. Just forward.
A receipt or invoice
Same address. Finn detects the attachment, extracts amount, VAT, date, and vendor with the existing document OCR pipeline, files it, and tries to match it to a bank transaction. The reply confirms what was filed and links to the record.
A signed contract
Finn attaches it to the relevant deal (matching by contact and subject), records the signed date and parties, and updates the deal stage if appropriate.
A task list
Forward an email containing a to-do list and Finn creates a task for each line. If you wrote dates in the email ("submit VAT by Friday"), the due dates get parsed and set.
A question
Email finn@accounts-os.com with a question β "what's my outstanding revenue?", "did Acme pay?", "when's my next VAT deadline?" β and Finn replies with the answer pulled from your live data. No writes, no clutter.
Anything else
Not sure what category an email falls into? Forward it anyway. Finn reads it, decides, and either acts or replies with "I'm not sure what to do with this β what did you want?".
Why This Matters
For five years, AI in accounting has meant "the same product with a chatbot bolted on". The chatbot answers questions about data that's already in the system. To get data into the system, you still click, type, upload, drag, drop.
That's the old shape. The new shape is: the AI is the interface to the system. Anything you can describe to the AI β by email, by chat, by voice β becomes data in your business. No forms. No fields. No bookkeeping vocabulary you have to learn.
Email is the most underused channel for this. Everyone has email. Everyone forwards email. The friction is zero. The value is enormous.
How to Use It
There's no setup. The address finn@accounts-os.com already exists. As long as you signed up with the email you forward from (or you've added that email as an authorised forwarding address in Settings), it works immediately.
Three patterns we recommend:
- Backfill your pipeline. Open your sent folder. Forward the last 10 proposal emails to Finn. Watch it build out your pipeline retroactively.
- CC Finn on outbound. When you email a prospect, CC
finn@accounts-os.com. The prospect sees the CC. Finn logs the activity on the deal automatically. Bonus: it's a soft signal that you're using a serious tool. - Forward what you'd otherwise lose. Receipts in personal email, task lists in random Notes apps, supplier invoices in attachments. Send them to Finn and let it figure out what to do.
What's Coming Next
The same agentic loop will work from Slack, WhatsApp, and Telegram β forward a message thread, drop a file, dictate a memo, and Finn handles it the same way. Receipts via WhatsApp are already live. The deal logging and task creation work over messaging too. Email is just the first surface where the full loop is documented and supported.

FAQ
What if Finn classifies my email wrong? Every action gets a reply explaining what was done. Open the linked record and edit, undo, or merge. Nothing Finn does is irreversible.
Can other people forward to Finn? Only the email addresses registered to your account can drive actions. Cold emails from strangers get stored to your inbox but Finn doesn't act on them β they need human review.
Is my email content used to train AI? No. AccountsOS never uses your data to train AI models. Email is processed by Finn against your own data only, encrypted in transit and at rest, in EU data centres.
Does it work with my email provider? Yes β Gmail, Outlook, Apple Mail, anything that sends standard email. The classifier reads the subject, body, and any quoted headers from forwarded messages.
Can I add finn@accounts-os.com as a default BCC in my email client?
