Can staff see this?

No. The practice vault sits on your practice's own company record, which only admins have access to, the same way a bookkeeper's client allocation never includes your firm's own books.

Does a document get deleted automatically once its retention period ends?

No. The retention date is tracked and shown to you, deletion is always your decision.

What goes in the client's file versus the practice's own vault?

Anything about that specific client, their signed letters, ID, AML evidence, sits in their file. Your practice's own insurance and certificates sit at practice level.
