Kwartaalaangifte BTW (Quarterly VAT Return)

The standard quarterly BTW (VAT) return for most Dutch SMEs with annual taxable turnover below EUR 1 million. Filed electronically via Mijn Belastingdienst Zakelijk by the last working day of the month following each quarter.

  • Most SMEs, sole traders (eenmanszaken), and ZZP self-employed persons
  • BVs and partnerships below the monthly filing threshold
  • Non-resident businesses registered for Dutch BTW with lower-volume activity

Kwartaalaangifte BTW: quarterly VAT return covering output BTW on all Dutch taxable supplies at 21%, 9%, and 0% rates, recoverable input BTW on business purchases, reverse-charge adjustments for foreign services, and intra-EU supply declarations

How to file

Filed electronically via Mijn Belastingdienst Zakelijk. The form has fixed boxes: Box 1 (domestic supplies), Box 2 (services received from abroad), Box 3 (intra-EU zero-rated supplies), Box 4 (EU acquisitions and reverse charge), Box 5 (pre-paid BTW). Accounting software typically submits via SBR integration.

Payment due

Net BTW due is paid on the same date as the filing deadline: Q1 on 30 April, Q2 on 31 July, Q3 on 31 October, Q4 on 31 January. Businesses in a BTW refund position wait approximately 6-8 weeks for the Belastingdienst to process the refund.

Penalties for missing this deadline

Automatic fine of EUR 68 for first minor offence, rising to EUR 5,514 for deliberate or repeated non-compliance. Late payment attracts belastingrente from the due date. Missing four or more deadlines in 12 months triggers enhanced Belastingdienst monitoring.

Filing checklist

  • Reconcile all sales invoices for the quarter to output BTW by rate (21%, 9%, 0%, exempt)
  • Reconcile all purchase invoices for the quarter to recoverable input BTW
  • Identify and apply reverse-charge BTW on foreign supplier invoices and account for it in Box 2
  • Confirm zero-rated intra-EU supplies and cross-reference with the quarterly ICP declaration
  • Log in to Mijn Belastingdienst Zakelijk, open the BTW return for the quarter, and complete all boxes
  • Submit and pay using the betalingskenmerk, or verify direct debit authorisation is active

Common mistakes to avoid

  • Applying the 21% rate to goods or services that qualify for the 9% reduced rate such as food, books, medicines, and accommodation
  • Failing to report intra-EU zero-rated supplies in Box 3, making the ICP declaration inconsistent with the BTW return
  • Forgetting to file for a zero-activity quarter: a nil return must still be filed on time
  • Switching to the KOR small business exemption without properly deregistering from quarterly BTW filing
