What must a UK invoice include?
A UK invoice must include: your company name and address, customer name and address, a unique invoice number, invoice date, description of goods or services, quantity and price, total amount due, and payment terms. If VAT registered, you must also include your VAT number, the VAT rate applied, and VAT amount.
When should I add VAT to my invoice?
You must add VAT to your invoices if your business is VAT registered (required once turnover exceeds £90,000 per year). You charge VAT at the appropriate rate (20% standard, 5% reduced, or 0% zero-rated) depending on what you're selling. Some services are exempt from VAT entirely.
What is a valid VAT invoice?
A valid VAT invoice includes all standard invoice information plus: your VAT registration number, the tax point (date of supply), the rate of VAT charged on each item, and the total VAT amount. For invoices over £250, you also need the customer's name and address. Simplified VAT invoices can be used for sales under £250.
How long should I keep invoices for HMRC?
HMRC requires you to keep invoices and other business records for at least 6 years. If you're VAT registered, you must keep VAT records for 6 years. For limited companies, you should keep records for 6 years from the end of the financial year they relate to. Digital copies are acceptable.
What payment terms should I set on invoices?
Common payment terms in the UK are 14, 30, or 60 days from invoice date. The Late Payment of Commercial Debts Act allows you to charge interest (8% plus Bank of England base rate) and compensation (£40-£100) on overdue B2B invoices. Clearly state your payment terms and bank details on every invoice.
Do I need sequential invoice numbers?
Yes, HMRC requires invoice numbers to be unique and sequential. You cannot reuse or skip invoice numbers. This creates an audit trail and helps prevent fraud. Your numbering system can include prefixes (e.g., INV-2024-001) but must follow a logical sequence.
